Saving emails from Gmail in Google Sheets is a nice way to create back-ups. But copying the sender, subject, and body of the email and then pasting it into a new row takes too much clicking and switching tabs. And let’s be honest—I make mistakes and wind up copying the same field or pasting the wrong information into the wrong field.

So how do I get away from copying and pasting—and human error? I do it with Zapier. If you haven’t heard of Zapier yet, it’s a tool that automates your tedious, manual work, so you can focus on the tasks that really require brainpower.

And with Zapier, I can connect Gmail and Google Sheets so that all emails matching a specific search are automatically added to Google Sheets. So let’s build this Zap!

First, I need to connect my Gmail account. At Zapier, we take data security seriously and use bank-level encryption to protect your account details.

Once Gmail’s connected, now I need to select the search query—this one works just like search in Gmail. I want emails from my boss, so I’ll put their email in here.

Let’s find a sample real quick, and we’re on to Google Sheets. Like before, we need to select the Google Sheets account, and the spreadsheet we want to copy the emails to.

This button means we need to do some quick mapping: We grab information from step one, like subject, from name, and email body, and we plug it into specific fields in Google Sheets.

This is set, so now let’s test. All right, looks good, so let’s see if this worked.

And there’s a brand new row in Google Sheets with all the information from Gmail. Now, every time an email matches this search, Zapier will automatically add it to Google Sheets for me. I won’t have to monitor my email or worry about copying anything over—it’ll all just happen in the background.
