A less than pleasant communication
A less than pleasant communication for the vendor is to be told that their bid for your account was not successful. Often it costs vendors a considerable amount of time and money to prepare a proposal in response to your advertisement/letter and submit a bid. That time and money is wasted when their bid loses, not to mention they aren’t getting the revenue the contract award will generate. Break the news gently. You want to maintain goodwill with the vendor. Keep in mind that even though you didn’t pick them for this job, you may want to buy from them for a future need.
Tips for Notifying Vendors that Their Bid Was Rejected
• Thank the vendor for submitting their proposal in response to your request.
• Tell the vendor that although they are certainly qualified, you chose another vendor in this instance. Give a reason, if appropriate (e.g., the other bidder fee was lower).
• Assure the vendor that you appreciate the effort that went into their proposal and you will consider them for future projects that are a better fit with their capabilities.
