How to write a meeting request for your boss.
Background:

Eric Berger is an executive assistant at WKS. He has been asked to send a meeting request to a potential business partner.

Dear Mr Lima,
My name is Eric Berger and I work as an executive assistant at WKS in Munich.

WKS is a leading producer of …. , with over 2,000 employees in 12 locations worldwide.

I am writing on behalf of our CEO, Ms Suzanne Weiss, to request a meeting to discuss a possible cooperation with Hilandro. We are currently looking for a reliable partner in Brazil and were very impressed when we learned about your company during our research.

Ms Weiss and our CFO, Mr Hans Appel, are planning to visit Sao Paolo in the first week of October and would like to meet with you.

Would you be available for a meeting at this time?

Great, so we’ve put together a professional email to request a meeting with Mr Lima. We then wait for a reply, but nothing comes. 10 days pass by and Ms Weiss wants to know if an appointment has been made. The planned trip to Sao Paolo is getting closer. Now, it’s time to write a follow-up email.

Tip:
Before we get started on the follow-up email, it might be a good idea to include the original email. There is a possibility that Mr Lima or his assistant didn’t see it – maybe it went into a spam folder or was deleted by mistake.

Dear Mr Lima,

I recently wrote to you on behalf of our CEO, Ms Suzanne Weiss.

Ms Weiss and our CFO, Hans Appel, will be in Sao Paolo from October 2 – 7 and are very interested in meeting with you to discuss a potential cooperation between WKS and Hilandro.

If possible, we would like to arrange an appointment for either Thursday, October 5 or Friday, October 6 at Hilandro.

Please let me know if you would be available for a meeting.

So that’s one way to follow-up, there is another which is a little more direct:

We are currently fixing appointments with other potential partners in the region and would like to know if you will be available to meet on either Thursday, October 5, or Friday, October 6 at Hilandro.

I would appreciate it if you could inform me by the end of this week
