I want to build a todo list in Trello from emails I star in Gmail. But they don’t connect directly. Well, I’m going to show you how to connect Gmail to Trello using Zapier.

If you don’t know Zapier, it’s an automation tool that makes connecting all your apps happen in a matter of clicks. And Zapier’s going to help me connect Gmail to Trello with a Zap—an automated workflow.

All I’ll really need to do is connect my Gmail and Trello accounts and then match up information from my email to parts of the Trello card.

Now I need to connect my Gmail account…We have links to our privacy and data policies in the description but basically, we use bank-level encryption to keep your account information safe and secure.

My Gmail’s connected, let me test it…It’s good. Save and continue and let’s pick a sample email we can use to set up the Trello step. This looks good so we’ll continue.

We’ll click continue since we’re creating a card, connect the Trello account, this is giving Zapier permission to create a card, test it and now we match information from Gmail to Trello.

When you see a down caret like this, that means you have to select an option from a list menu. In this case, board and list.

You see how some information came in populated, like name and description? This Zap Template automatically mapped the email’s subject to my card name in Trello, and took the body of the email—and a link to it—for the card’s description.

If I don’t like this, it’s easy enough to change: just click on that button and find the field you want instead.

We’re good here so let’s continue. When I click test, we’re actually going to create a card in Trello, so keep that in mind when you test your Zaps, too; Zapier is actually making the action happen.

Looks like a success, so let's check out Trello…and there it is. Just like that, we connected Gmail to Trello.

Now, every time I click that little star in Gmail, this Zap will run and send the email to Trello as a new card.

To set this Zap up, I used a Zap Template. They kind of make it faster to create a workflow, and come with the apps and actions all ready to go. If you clicked on “Build A Zap” or your editor looks a little different, don’t worry, the principles are all the same.
