This process gives us a plan which guides rest of the processes of this Knowledge Area, it produces the Communication Management Plan. Let’s explore the utility of Communications Management Plan. At a regular frequency, you need to be clear what all information you need to share different stakeholders of the project, who are interested in what type of information.
You should have a plan, technology, method and person responsible for communication. You should have an agreement with your stakeholders and project team. To avoid scenarios where you receive calls from stakeholder about project status or weekly report. They should know when they are getting a weekly report. All this is agreed upon through the communication management plan. In order to arrive to that agreement you need to look at
• Project Charter
• Resource Management Plan
• Stakeholder engagement plan
• Project requirement documentation
• EEF & OPA
The enterprise environmental factors that can influence this process are - Organizational culture, political climate, administration policies, established communication channels, tools, and system.
You might be working in an environment where things are very informal or maybe contrast, very structured and process oriented. The communication management plan has to be very refined in case of a structured organization. Geographic distribution of resources also affects the communication plan and selection.
The organizational process assets include - Organizational policies and procedures for social media, and security; Organizational communication requirements, historical information, and lessons learned repository; and Stakeholder and communications data and information from previous projects.

Expertise should be considered from individuals or groups with specialized knowledge or training in the following topics: Politics and power structures in the organization environment and culture of the organization and other customer organizations, Organizational change management approach and practices and policies and procedures regarding legal requirements of corporate communications.
Communication Requirements Analysis determines the information needs of the project stakeholders. These requirements are defined by combining the type and format of information needed with an analysis of the value of that information.
Communication plays an important role in changing the engagement level of stakeholders. Previously there was only one knowledge area Project Communication Management which was taking care of both communication and stakeholder management. A few years ago it was split into 2 separate knowledge areas.
The output of this process “Communications management plan” is a component of the project management plan that describes how project communications will be planned, structured, implemented, and monitored for effectiveness.
